• Ensuring all marketing communications you receive from us are relevant, such as tailoring messaging to our existing supporters and potential supporters across the trust
• Fulfilment of orders for services requested, such as room bookings or ticket sales.

Personal data collected and processed by us may be shared with the following groups where necessary:

• Trust employees, Trustees and volunteers. For example, when you buy a ticket, your name will feature on a front of house sheet. Our trustees and volunteers often help us by running the door for our events. The information is returned to trust employees after the event. We do not sell or share your personal information for other organisations to use.

You are always in control of how we communicate with you. You can update your choices by contacting  us at any time.

Your Marketing Permissions

The Trust always acts upon your choices around what type of communications you want to receive and how you want to receive them. However, there are some communications that need to happen regardless of your marketing preferences. These are what we would describe as essential communications to fulfil our promises to you as a Friend from the Trust, hirer or customer when purchasing a ticket. Examples of this type of communication would be:

• Transaction notification messaging, such as Direct Debit confirmation, e-ticket confirmation
• Membership related mailings such as your renewal reminder.

Retention

We hold your information only as long as necessary for each purpose we use it, detailed are some of our retentions to give you an idea of how long we hold your information for.

• We will hold your information while you are a Friend
• We will hold your information for up to two years if you do not renew.

Where we need your consent, we will ensure always that you are as fully informed as possible at the time on what we do with your information, with whom it may be shared and how long we will keep it.

Accessing your personal data

You have the right to ask us, in writing, for a copy of all the personal data held about you (this is known as a ‘subject access request’). A copy will be sent to you as soon as possible but this will not be later than 30 days after your request.
